Officials & Volunteers Quota

No game can take place without officials. Therefore we are working hard on getting as many non-playing officials to attend EQC so you and your players can focus on playing.

However, to assure EQCs can run smoothly, we will be very reliant on playing officials to guarantee full referee crews, so that every team gets to play their games fairly and in a properly officiated manner. Additionally, to assist the logistics crew, we require each team to name 4 volunteers to assist in build up and/or tear down.

For this, there will be a quota of officials & volunteers that every team regardless of Division needs to fulfill. This quota will be as follows:

A team may list more officials on the roster than the 7 or 8 required by quota if they wish to share responsibilities between more people, for example more than 2 people for Scorekeeper, Timekeeper, and Goal Judge, if they all have the mandatory certifications.

² Flag Referees will be used as an additional Assistant Referee prior to the Flag Runner entering the pitch.

³ Every team will be required to field their mandatory number of Flag Runners at all times during the event. This means that should your team’s dedicated Flag Runner(s) no longer be capable of fulfilling this duty (e.g. due to injury or the person having to leave the event early), then one or two replacements from your team must report to the committee to fill this role and show their certification.

Every team is required to leave behind 2 people after every game (or in each day’s first slot if scheduled) to fill the positions of Timekeeper, Scorekeeper, and Goal Judges for the subsequent game on the pitch who have been listed for these positions on the team’s roster. These people must report to the Pitch Manager immediately at the end of their team’s game (after end of game greetings but before any end of game team debriefings) and are required to remain at the pitch. The Pitch Manager will decide which position each volunteer will fill to avoid game delays.

Every team is required to send 4 volunteers to help with pitch & tournament build up / tear down. Teams not playing in the first slot of each day are required to have them meet the Logistics Coordination at least 40 minutes before the first game for instructions. Teams playing in the first slot of each day are required to have them meet the Logistics Coordination immediately after the last game slot of the day and assist until the Logistics Coordination declares the tear-down as done. Pitch tear down & pitch trash removal will instead be done by the whole teams that played last on a pitch on that day, instructions will be given by the Pitch Manager. Don’t worry: The final will not start until several minutes after all other pitches are done.

Any person (playing or non-playing) having any position on their team’s quota must have the necessary certifications at least 10 days before tournament start.

Any person (playing or non-playing) having any position on their team’s quota that is scheduled as Referee or Flag Runner must check-in with the Pitch Manager at the pitch 10 minutes before scheduled game starting time and must have all their mandatory equipment with them.

It is each teams’ shared responsibility to make sure to provide the mandatory equipment to their officials if they don’t have their own (so please make sure your team has 2 extra referee jerseys on hand at the end of each of your game in case your team will have to fill the Goal Judge positions, or a power bank & a phone with mobile internet connection for the Time Keeper position).

Visit the gameplay policy for consequences for missing or late volunteers or their missing equipment. Replacements for missing tear down volunteers will be charged with 50€ per missing volunteer to each team.

No Smoking Policy

Smoking and vaping is forbidden on the whole sports venue during EQCs, including (but not limited to) pitches, spectator areas, seating areas, and walking paths, even if the venue allows smoking.

To smoke or vape, please go and remain in the parking lot or next to the main street and do not throw any cigarettes on the ground.

Smoking and/or vaping on the venue and/or throwing cigarettes on the ground anywhere around the venue will be penalized with a fee of 100 € for each violation of this policy. Repeated violation will additionally lead to an event ban.

Doping and Substance Abuse

No player, team staffer, official, or volunteer may be under the influence of alcohol, cannabis, or other recreational drugs during the event. If a player, team staffer, or volunteer is found to participate under the influence in the tournament at any point, they will receive a tournament ban. Please also note the no smoking policy in the tournament policies.

The use of substances and methods banned by the World Anti Doping Agency (WADA) is prohibited for all players with the exception of therapeutic use. Players who are using banned substances or methods for therapeutic use will not need to provide a corresponding medical report before the tournament.

Team Roster Submission

Rosters have to be sent by 2 May 2026 (EQC D1) or 1 June 2026 (EQC D2) to the team’s NGB.

To submit the roster, make a copy of the template linked below (click File -> Make a copy) and fill in the necessary information. The roster can have up to 25 players (out of which you can build each Game Roster of 21 players) and up to 5 non-playing team staff members.

Make sure you fill in all data fully and correctly. Make sure to list at least the full number of mandatory volunteers for your team’s quota and include the Referee Hub link for all volunteers that require a certification. You may include more volunteers than the quota if you want to spread the responsibilities between more people. Referees and Flag Runners are additionally required to personally submit the volunteer form for your division until the roster submission date and are required to have all mandatory certification at least 10 days before the first event day.

If you need to make any changes to the roster’s volunteer positions after roster submission (by example due to failed referee certifications) please contact the D1 Volunteer Coordinator at d1.volunteers@quadball.eu or the D2 Officials Coordinator at d2.officials@quadball.eu. If you need to make changes to Goal Judges / Time Keepers / Scorekeepers or to the Build Up / Tear Down Volunteers, you do not need to inform the committee beforehand, but you must appoint the minimum number of required volunteers on your roster at submission.

Your NGB will inform you how to send them the roster link. Make sure to use the Share button to give viewer permission to everyone with the link. Your NGB will double check that all mandatory information is recorded as required, the mandatory quota is fulfilled, and that every player on the roster either started their quadball career on that team or has received an approved transfer request in accordance with the NGB’s and Quadball Europe’s transfer policies. Your NGB will then submit the roster to Quadball Europe on your behalf.

Player & Team Staff Event Check-In

As a new policy this year, we do not require all players to individually show up at the event check-in.

Instead, each team is required to have one person responsible to print the check-in sheet from your roster (third tab). All players and team staff can mark the mandatory fields (e.g. that they agree to the linked Waiver) and sign on the sheet to check-in. The responsible person is required to make sure that all information is correct and that they are sure of all player identities (so please make sure you also have your ID card or passport ready if necessary when checking in). For players and staff under the age of 18 a liability waiver signed by their legal guardians is additionally required.

Only the responsible person will then need to check-in at the venue, show their ID card or passport, and hand in the full team’s check-in form.
